EC opens call for tenders in the framework of the Euro-Mediterranean Partnership
Notice has been given on May 7th 2009, of the launch of a restricted call for tenders (ref.EuropeAid/128163/C/SER/Multi), aiming at the organisation of conferences, seminars and meetings in the framework of the Euro-Mediterranean Partnership, the Union for the Mediterranean and the European Neighbourhood Policy — Regional Cooperation South. Applicants may submit their proposals until June 9th 2009.
The Euro-Mediterranean Partnership, the Union for the Mediterranean and the European Neighbourhood Policy provide for a whole range of conferences, seminars and meetings as a means of further deepening the political dialogue with partner countries. The objective of call for tenders EuropeAid/128163/C/SER/Multi is to ensure the organisation of the logistics of these events over 2009–2011.
In order to guarantee a quality service in the organisation of the logistics, a comprehensive methodology including risk analysis and practical cases is expected from those of the candidates who will be invited to submit a tender. Tenderers shall accordingly put a particular emphasis on the technical aspects of this offer.
For each event, arrangements will include overall preparation, coordination and follow-up of the event, flight booking, assistance for issuing visas, hotel booking, airport and hotel transfers, booking of conference facilities and technical equipment, hiring of interpreters, catering services, secretarial support, preparation of badges and name plates, conference kits, production of brochures, etc. This list is not exhaustive.
The team of experts shall include event organisers. Event organisers are responsible for the organisation of the events and will systematically be present on-the-spot to ensure the good execution of the event.
The location of the events will range from Brussels to EU, Mediterranean and Balkans countries and territories, and Turkey. For each specific assignment, specific terms of reference will provide for complete description, including location and timetable.
Contract is expected to start by September 2009 and the initial period of implementation of tasks and possible extension of the contract will last over 24 months.
Budget and submission deadline
Maximum budget allocated for this contract amounts to 4.75 M€. Applicants may submit their proposals until June 9th 2009 either by by recorded delivery (official postal service) or hand-delivered (including courier services) to:

Applications must be submitted using the standard application form, whose format and instructions must be strictly observed.
On the basis of the applications received, 4–8 candidates will be shortlisted to submit detailed tenders for this contract. If the number of eligible candidates meeting the selection criteria is less than the minimum of 4, the contracting authority may invite the candidates who satisfy the criteria to submit a tender.
